Executive Assistant (Trenton, Ontario)

Our client,  a well-established and specialized manufacturing company. They are looking for a highly skilled and experienced Executive Assistant to support the General Manager with oversight for Customer Service functions whilst helping drive efficiency at the highest levels of the organization.

What You’ll Do:
• Executive Support: Manage complex calendars, directing feedback, and handing complex and confidential financial information.
• Communication Management: Act as a primary liaison between executives and internal/external stakeholders, ensuring smooth communication.
• Project Coordination: Assist with special projects, research, and presentation preparation as needed.
• Meeting Preparation: Organize and prepare materials for meetings, take detailed minutes, and follow up on action items.
• Confidentiality & Discretion: Handle sensitive company information with the utmost professionalism and confidentiality.
• Operational Efficiency: Identify opportunities to improve processes and enhance the effectiveness of the company.
• Team Collaboration: Work closely with all levels of the workforce to ensure seamless operations across departments.

What We're Looking For:
• Experience: 5+ years as an Executive Assistant, with at least 2 years supporting C-suite executives in a manufacturing environment
• Education: Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
• Remote locations: You will have experience dealing with international remote locations where necessary.
• Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and project management tools (Asana, Trello, or similar).
• Strong Communication: Excellent written and verbal communication skills.
• Problem-Solving Ability: Proactive mindset with strong problem-solving and decision-making skills.
• Attention to Detail: Highly organized with the ability to manage multiple tasks and deadlines.
• Discretion & Professionalism: Ability to handle confidential information with integrity.
• Flexibility & Adaptability: Comfortable in a fast-paced, dynamic environment.
